Metrics & reporting
Spot problems sooner.
Which jobs really make money? How busy is the team, and where do jobs get stuck? How will cash develop over the next few weeks? We bring your figures together from the systems and spreadsheets they live in today, without anyone copying them across by hand. So you see variances while you can still act, not in next month’s report.
Sound familiar?
The monthly figures arrive late and don’t show everything.
The monthly figures from your accountant arrive weeks after month-end. And how busy the team is, how long a job sits waiting or how often work gets redone isn’t in them at all. By the time you notice, a job has gone off track or cash is tighter than expected.
With usVariances and bottlenecks show up while there is still time to act.
Your systems don’t talk to each other.
Time tracking, accounting and controlling software each deliver their own figures, and none of them covers everything you need for the overview. A shared view of where things stand only exists if someone builds it by hand.
With usThe figures from all systems come together in one place.
More revenue, but not more money.
Orders are growing, the bank balance isn’t. Whether a job paid off only shows at the final invoice, because revenue, hours and costs sit in different systems.
With usContribution per job is visible while the project runs.
Reporting depends on one person.
One Excel file whose formulas only one colleague understands. And two departments still end up with two different revenue figures.
With usEveryone works from the same, traceable figures.
What we build for it
Define
Choosing the figures
The few figures you really need, and exactly what each one means, so everyone reads them the same way.
Bringing the data together
Accounting, ERP, time tracking and spreadsheets become one source everyone can rely on.
See
Management reporting
The figures you base decisions on, in one place, always up to date and with the right people at set times.
Early warning alerts
You set limits. When one is crossed, the reporting tells you, instead of someone noticing by chance.
Numbers for your investor update
The numbers for your investor update: automatic and checked. You tell the story.
One-off analyses
Look into one question properly, such as why customers drop off or which job doesn’t pay.
Plan ahead
Planning and forecast
An annual plan and a rolling forecast: where will you land if things carry on like this?
Plan vs. actual
Variances show up while there is still time to act, and we work out with you where they come from.
Cash flow planning
How your bank balance develops over the coming weeks and months, rolled forward continuously.
Testing prices
How customers respond to a price change before you roll it out everywhere.
Use it yourself
Self-service analysis
We show your team how to build their own reports without having to ask someone every time.
KIAsk questions about your data
Instead of digging, just ask: “Why did the margin drop in March?” An AI answers and shows which figures it relies on.
You can measure more than money, for example
- Revenue and profit
- For every day, week, month, quarter and year, always next to the plan.
- Utilisation
- How busy your team, machines or vehicles are, and when something stands idle.
- Output per team
- What each team gets done, over the day and over the weeks.
- Locations compared
- Which site, branch or region performs better, and why.
- Result per unit
- What a job, a customer, a vehicle or a machine earns and costs.
- Processes
- How long a job takes, where it gets stuck and how often it needs rework.
- Customers and sales
- Where new customers come from, what they cost and who drops off.
- Stock and purchasing
- What’s in stock, how fast it moves and when to reorder.
- Team
- Who leaves and who stays, and how long new people take to get up to speed.
How we work
Define what needs understandingFixed price
What do you need to know about your business on an ongoing basis, including things nobody has on their radar yet? That tells us which figures you need, and the decisions follow from that understanding.
Source the figuresincluded
We find out where each figure comes from and how reliable it is: which system, which spreadsheet or which person. Anything not yet recorded, we introduce with you, with a custom tool if needed.
Steps 1 and 2 are one package at a fixed price. Afterwards you know which numbers you need and where they come from. For building it from step 3 on, you get a separate proposal.
Plan and buildFixed price
We decide how everything should come together and build it – including connections between your tools and regular, largely automatic updates. The calculation rules are stored in the system where anyone can follow them, not in a spreadsheet only one person understands.
Roll out, test, supportsupport monthly, if you want
After our own testing, we show your team how to work with the reporting. You then check in day-to-day use that everything works and the results make sense, and we adjust where needed. After that, we can look after maintenance and extensions.
You see licences for the tools used before we start.
Good to know
Manageable, but not zero. We mainly need you for the conversations at the start, for access to your systems and during testing. We take care of the rest.
Hours on paper, jobs buried in emails: what isn’t recorded properly can’t show up in any report. We build the tool that records it, and from then on the reporting gets the figures automatically.
Software & toolsDuplicate entries, missing approvals, everyone keeping their own list: then even the best reporting is wrong. We tidy up the process so the figures are right from the start.
ProcessesNo, the aim is to work with what you already have. We only replace a program if you want us to or if a custom solution is cheaper or simpler in the long run. We work that out with you beforehand.
Yes. Bookkeeping and tax stay with them. So you don’t have to wait for the month-end close, we also use figures straight from your own systems, such as invoices, bank transactions and time tracking. Once your accountant has posted the month, the reporting reconciles the figures against it.
Yes, as your fractional CFO & COO: a few days a month, as much as your stage needs. We keep plan and forecast up to date, watch cash and costs and deliver the numbers for your investor update. If you later fill a permanent role, we hand over in good order.
Fractional CFO & COOEvery view shows when the data is from and where it comes from, right back to the original source. If something is missing, it is flagged rather than simply showing zero.
Only the people you choose. Before we start, we agree with you where the data is stored: on your own servers or in a cloud located exclusively in the EU. Before we work with real data, we sign a data processing agreement as required by the GDPR.
Faster answers: instead of waiting for an analysis, you ask your question directly, and the AI always shows which figures it relies on. The metrics you need regularly are still calculated with fixed rules, the same way every time and checkable. And if you don’t want AI, we leave it out.
So you don’t only find out afterwards what went wrong: when the month is over, cash gets tight or customers leave. With up-to-date figures you see variances while you can still act, and you decide on facts rather than gut feeling. If you run a German GmbH or UG, you are also required since 2021 to keep an ongoing eye on anything that could threaten the company’s survival (section 1 of the StaRUG).
Yes. We work remotely, in English or German. Processes, metrics, AI and software work the same way everywhere. Legal and tax questions in your country stay with local experts.
